Terms of Use
WRX365 by Whitetail RX · Updated October 17, 2026
These terms cover WRX365 by Whitetail RX, on the web at whitetailrxtools.com and in the WRX365 app for iPhone and Android, including your registry, the Hunt Outlook and your account (together, "WRX365"). WRX365 is run by Whitetail RX, LLC, an Oklahoma company ("Whitetail RX," "we," "us"). By creating an account or using WRX365, you agree to these terms and to our Privacy Statement.
What WRX365 does
- Record Harvest. Green score a whitetail using Boone and Crockett Club measurements, totaled the way Boone and Crockett scores a non-typical; estimate age from tooth replacement and wear; and record bucks, does and button bucks with weights, photos, the hunt club and, on paid plans, the property.
- Registry. Keep your harvests by season, hunt club and property, with season summaries and trends. We email you a scorecard or harvest record for each deer you record and a season summary each January.
- Hunt Outlook. A morning, evening and hour-by-hour deer-movement outlook for your ZIP code or property, with the reasons behind each rating, stand wind calls for your stands, and weather, sun and moon times.
Outlooks, scores and ages are estimates
Everything WRX365 produces is an estimate. A green score is not an official score; official Boone and Crockett or Pope and Young entries require a 60-day drying period and an official measurer. Age from tooth wear is an age class, not an exact age.
The Hunt Outlook is our opinion of how likely deer are to move, based on weather forecasts from third parties, published research on rut timing, season dates and your own entries. It is not a guarantee that you will see or harvest deer. Weather forecasts are often wrong, especially several days out. Labels such as "Be There," "Get In," "Be Patient" and "Hunt Smart," and the plan tips that go with them, are general suggestions, not instructions. Moon phase and moonrise and moonset times are shown for your information and are not part of the rating.
Your safety and the law come first
- You decide whether, when and where to hunt. Check the actual weather before you go and never hunt in lightning, severe storms, high winds or other unsafe conditions, whatever an outlook says. Use a safety harness in any elevated stand.
- Shooting hours, season dates and hunting-pressure notes in WRX365 are approximations that may be wrong or out of date. Follow your state wildlife agency's regulations, including legal shooting hours, seasons, bag limits, tagging and harvest reporting.
- Only add properties you have permission to hunt, and don't use WRX365 to trespass or to track other people.
- Don't rely on WRX365 for legal, regulatory, safety or harvest-reporting purposes.
Your account
You sign in with your email and a one-time code. Keep access to that email secure, since anyone who can read it can sign in. You must be at least 13 years old to create an account. Paid accounts can be signed in on up to 5 devices at a time. You can delete your account at any time from your Registry.
Hunt Club membership
WRX365 is a free benefit of the Whitetail RX Hunt Club. Creating an account on the website adds you to the Hunt Club mailing list, and you agree to receive our emails about field notes, new gear and habitat work. In the WRX365 app, joining the mailing list is optional. Every email has an unsubscribe link. If you unsubscribe, you keep your account and your records.
Plans and limits
- WRX365 Free: 2 buck tags and 4 doe or button buck tags each season (August 1 through July 31), one hunt club, and today's Hunt Outlook for your account ZIP code.
- RxPRO: 8 buck tags and unlimited doe and button buck tags, one hunt club, one Hunt Outlook property with 7-day outlooks, the full day view, stands and stand wind calls, and the RX Store member discount. Extra buck tags can be bought for the season.
- Other plans such as RxPRO+ and WRX365 Outfitter, when offered, include what is described on the plan page at the time you buy.
- A tag is used when a deer is added. Deer count toward the season they're added to your account, not the season they were taken, and removing a deer doesn't give its tag back. Editing a deer never uses a tag. Deer over the limit can still be saved on your device.
- To limit abuse and cost, an account can change its outlook locations (ZIP code or property location) up to 10 times a day.
Paid plans, renewal and cancellation
Paid plans are billed once a year through Stripe (on the website and iPhone) or Google Play (in the Android app) and renew automatically each year at the price shown when you bought, until you cancel. We email a reminder before each renewal. Cancel anytime by replying to any Whitetail RX email or writing to tools@whitetailrx.com; your plan stays active until the end of the year you paid for. If you're not happy, we'll refund your first purchase within 14 days. Renewals and extra buck tags you've already used aren't refundable. If a plan ends, your account returns to the free plan limits and you keep all your records, properties and stands, but features beyond the free plan are hidden until you upgrade again. Extra buck tags count only for the season they're bought in. If you bought through Google Play, renewal, cancellation and refunds are handled in your Google Play subscriptions under Google's policies.
Paid members get a store discount code for 5% off RX Store purchases. The code is for the member's own purchases, can't be combined with other discount codes, may change each season, and ends when the plan ends. We may change or end member perks at any time.
Prospect Reports
A Prospect Report is a one-time purchase built from public data (soils, lidar, flood maps, water, roads, public land, weather and similar sources) for the border you draw. Acres are approximate. A Prospect Report is not a survey, appraisal, title search, flood determination or legal advice, lease estimates are not a guarantee, and public data can be out of date or wrong. Check anything important with the landowner, seller or a licensed professional. Standard reports are ready in 2 to 3 business days and Expedited reports within 24 hours; with personal set-up, the report opens once Whitetail RX finishes your plan. If we can't deliver a report you paid for, we'll refund it.
Shared properties
The person who owns a property can invite others with an invite link, as viewers or editors. Everyone on a property can see its outlook, stands, map pins, areas, food plot logs and photos, feeder details, notes and any gate codes saved on it, and a short list of who added or changed what. Editors can add and change those things; only the owner can rename, move or delete the property or manage who's on it. Members see each other's first names; the owner also sees members' email addresses. Joining a property uses one of your plan's property slots. The owner controls the property; if the owner deletes it or their account, it is deleted for everyone. Members can leave at any time. Only invite people you trust with where you hunt, and only share gate codes you're allowed to share.
Your records, photos and hunting data
You own the records, photos, properties, stands, sit logs and other hunting data you add. You give Whitetail RX a worldwide, royalty-free, non-exclusive license to store, copy and process them to run WRX365 for you, including sending you reports and calculating outlooks. You also allow us to use your measurements, age estimates, answers, sit logs, trail-camera timestamps, outlook history and photos to improve WRX365 and for research, publications and product development, including commercial use such as improving the Hunt Outlook and training models that estimate score and age from photos. When we publish or share results, we use them only in aggregated or de-identified form, and never with your name, email, property name, stand locations or anything that identifies you or where you hunt.
Only add photos you took or have the right to share, and don't add photos of other people without their permission.
Data from other sources
Weather data comes from Open-Meteo.com and the U.S. National Weather Service, and normal temperatures from NOAA's U.S. Climate Normals. Rut timing comes from published research by state wildlife agencies and universities, cited in WRX365. We don't control these sources and aren't responsible for their errors or outages. Their use in WRX365 doesn't mean they endorse WRX365.
Acceptable use
Don't misuse WRX365. That includes trying to access other people's accounts or data, overloading, scraping or probing the service, reselling outlooks, or using WRX365 to break the law.
The WRX365 app
If you use the WRX365 app, the app store's own terms also apply. Apple and Google are not parties to these terms and are not responsible for WRX365 or its support.
Changes and availability
We may change, pause or stop features or plans. We'll try to give notice before shutting down accounts so you can download your records; Download as CSV in your Registry keeps a copy at any time. We may update these terms. If we make a material change, we'll ask you to agree again.
No warranty and limits on liability
WRX365 is provided "as is," without warranties of any kind, including any warranty that an outlook, forecast, score or age is accurate. To the fullest extent the law allows, Whitetail RX isn't liable for any indirect or consequential damages, for any injury or loss arising from hunting or weather conditions, or for any loss of records, arising from your use of WRX365. Our total liability is limited to the greater of $50 or what you paid us in the 12 months before the claim.
Governing law
These terms are governed by the laws of the State of Oklahoma. Any dispute will be handled in the state or federal courts located in Tulsa County, Oklahoma.

Privacy Statement
WRX365 by Whitetail RX · Updated October 25, 2026
This explains what WRX365 collects, why, who helps us run it, how long we keep it, and how to have it deleted. It covers WRX365 on the web at whitetailrxtools.com and in the WRX365 app.
What we collect
- Account: your email address, first and last name, when you agreed to these terms, when you signed in, your plan and renewal date, and whether you've joined the Hunt Club mailing list. Stripe handles payments; we never see or store your card or bank details, only a Stripe customer reference.
- Harvest records: deer type, name or tag, hunt club, property (paid plans), ZIP code, date and time taken, stand setting you pick (such as a food source), live and field-dressed weight, every measurement, scores, tooth-aging answers, field age call and age estimate.
- Photos you add: harvest, trail camera and teeth photos. They're reduced in size on your device before they're saved, which also removes hidden photo data such as GPS location.
- Hunt Outlook: your account ZIP code; your properties (name, ZIP code, public or private land); your stands (name, type and the winds they hunt); sit logs you enter (date, morning or evening, deer seen, bucks you name, notes, and the weather at the time); trail-camera file names you upload for timestamps (camera ID, date and time, not the photo); and a history of the outlooks we gave you, so we can measure and improve accuracy.
- Map: the exact locations you choose to pin or draw on a property, such as stands, feeders, food plots, trails, property lines, gates and parking, with the names, notes and colors you give them. Locations are encrypted in our database.
- Gate codes: a gate code or lock combination you choose to save on a gate, parking or access pin. It's encrypted, shown only to people on that property, and never included when a pin is sent to someone.
- Food plots and feeders: food plot log entries and photos (planting, liming, fertilizing and similar), soil test reports you upload (the photo or PDF and the numbers read from it), and feeder settings, fill dates and levels.
- Shared properties: who is on each property and their role, invite links, and a short activity list (for example, "Cody filled Creek Feeder") that members of that property can see.
- How you found us: when you create an account, where you first came from, such as a link's campaign tag, the website that sent you, a club invite, or the app. We don't use third-party trackers to get this.
- Purchases: your plan and renewal date. Stripe handles website and iPhone payments; Google Play handles Android payments, and RevenueCat tells us what you bought there using a random account number, not your name or email. We never see or store your card or bank details.
- Land Reports: if you buy a Land Report, the options you pick, your branding, and any realtor contact details you add (name, brokerage, phone, email, photo and listing link). These appear in the report you choose to share.
- Prospect Reports: if you order a Prospect Report, the border you draw, the property name, and any asking price or listing text you add. We use the border to pull public map data for the report. Anyone with your report's link can open it. If you have us do a personal set-up, Whitetail Rx staff see the property border and add pins and a written plan.
- Partner program: if you're a WRX365 partner or realtor partner, your name, company and email, your partner code with its sales and commission totals, and a record of when you accepted the partner agreement (the name you typed, the time and your IP address). Commissions are paid by direct deposit through Stripe. Stripe collects and keeps your bank account and tax information (the Form W-9 details, including your Social Security or tax ID number); we see only whether your payout setup is complete and what we've paid you. We don't store your tax ID or bank account numbers.
- Drone recovery partners: if you apply to be a WRX365 Verified Drone Recovery Partner, your name, business name, phone, email, website, home ZIP code, how far you travel, the states you fly in, hours, bio, photo or logo, and the photos you upload of your FAA Part 107 certificate, drone registration and insurance. We use the certificate and registration only to verify you and don't show them to anyone. Your name, business, phone, website, hours, bio, photo or logo, home area and reviews are shown to hunters in WRX365 and may be shown on our website. Listing payments are handled by Stripe.
- Drone partner reviews and calls: when you tap Call or Send my track for a drone partner, we note which partner and when, so only hunters who actually contacted a partner can review them. If you leave a review, your star rating, what you wrote, the date and your first name with your last initial are shown to other hunters. Your email is never shown.
- Notifications: if you turn on notifications in the WRX365 app, a device token from Apple or Google so we can send feeder, time-change and property alerts to your phone. You can turn them off in your phone's settings at any time.
- Security and technical data: your IP address is used to stop abuse of sign-in (we keep only a scrambled form of it, for 24 hours), and our host keeps short-term technical logs. A scrambled (hashed) form of your email with how many deer you added each season is kept so the free plan limits can't be reset; it contains no harvest details and stays even if you delete your account.
We don't track your device's location. WRX365 uses your phone's location only while you're using a map feature that needs it, such as showing where you are on the map or tracing a boundary as you walk it, and only with your permission. A boundary you trace is saved as the shape you draw, not as a history of where you've been. "I'm heading out" is kept only on your phone. Outlooks use the center point of your ZIP code or a location you choose to pin.
How we use it
- To run your account, keep your registry and properties in sync across your devices, and calculate your outlooks and stand wind calls.
- To email you sign-in codes, a scorecard or harvest record for each deer you record or update, renewal reminders and receipts for paid plans, a season summary each January, feeder and time-change reminders you turn on, a new sign-in notice, and co-op mix cards you ask us to send. Every season summary has a link to stop them, and feeder reminders can be turned off on the feeder page.
- To read the numbers from a soil test you upload and work out lime and fertilizer for your food plot. You can check and correct every number.
- To show what's on a shared property to the people on it.
- To send Hunt Club emails if you're on the mailing list. Every email has an unsubscribe link.
- For partners, to track sales made with your code, pay your commission and send your monthly partner report.
- To keep WRX365 secure, prevent abuse and enforce plan limits.
- To improve WRX365, including the accuracy of the Hunt Outlook, and for research and product development, as described in the Terms of Use. Anything we publish or share is aggregated or de-identified.
Who helps us run WRX365
These service providers process information only to provide their service to us:
- Cloudflare hosts WRX365 and stores your account, registry and Hunt Outlook data.
- Open-Meteo (weather forecasts and rainfall) and the U.S. National Weather Service receive map coordinates (a ZIP code center, a property location or a food plot's center) to return a forecast. They don't receive your name, email or property names.
- Mapbox provides the satellite map, map labels and elevation (topo) data. Your device asks Mapbox for the map area you're viewing, so Mapbox receives that area and your IP address, not your account details or pins.
- Anthropic (the maker of Claude) reads soil test reports and deer score sheets you upload. The photo or PDF is sent to Anthropic only to return the numbers written on it. WRX365 doesn't keep the score sheet file. Anthropic also looks up list prices for stands and blinds in a Land Report, using only the make and model, and writes the text of Prospect Reports from the public map data for the border you draw (never your name or email).
- Apple Maps or Google Maps get a pin's location when you tap Navigate here, on your phone, to give you directions.
- RevenueCat and Google Play handle purchases in the Android app.
- U.S. Drought Monitor receives only a county code. NOAA climate normals and U.S. Census ZIP code data are stored with WRX365, so nothing is sent to them.
- Stripe processes payments for paid plans, Land Reports and Prospect Reports, and pays partner commissions (Stripe Connect), which includes collecting partners' bank and tax details and filing their 1099 forms.
- Resend sends sign-in codes and account emails.
- Apple Push Notification service and Google Firebase Cloud Messaging deliver app notifications if you turn them on.
- Zapier, Google (Sheets, Drive and Gmail) and Mailchimp log each harvest submission, store a copy of your scorecard, email it to you, and run the mailing list.
- Apple and Google deliver the WRX365 app and may collect information under their own policies.
- Google Ads and Meta (Facebook and Instagram) measure our advertising on the whitetailrxtools.com website only, never inside the WRX365 app. When you visit the website, create an account there or buy a plan there, their tags (which use cookies) tell them that it happened, and for a purchase, the amount. They don't receive your name, email, properties, pins, stands or any location. If your browser sends a Global Privacy Control or Do Not Track signal, these tags don't load. In the iPhone app, Apple's ad attribution tells us only whether the install came from an Apple App Store ad; it doesn't track you across apps.
A copy of your registry and recent outlooks is also saved on your device, so WRX365 works with poor signal.
Sharing
We don't sell your personal information, and we don't share your name, email, properties, pins or hunting locations with advertisers. The only ad measurement we use is described above, and it runs on the website only. We never publish your name, email, property, stand locations or anything that identifies where you hunt. If you share a property, the people you invite can see that property's data, including gate codes saved on it, as described in the Terms of Use. If you send someone a pin, the link shows the pin's name, type and notes, never a gate code; the pin's location is shared only when they save it to a property. Pin links stop working after 30 days. Shareable outlook cards show only your state, never your property. We may disclose information if the law requires it.
How long we keep it
- Account, registry and Hunt Outlook data: until you delete it or your account.
- Partner records: while you're a partner, then as long as tax law requires us to keep records of what we paid you (generally 4 years).
- Sign-in codes: 10 minutes. Scrambled IP addresses: 24 hours. Sign-in sessions: up to one year from your last use.
- Food plot photos, soil test reports, feeder details and gate codes: until you delete them, the pin or plot, the property or your account.
- A property's activity list: the most recent 200 entries.
- Invite links: until the owner turns them off. Pin links: 30 days.
- Notification tokens: until you turn notifications off, sign out or delete your account.
- Outlook history: kept to measure and improve accuracy, and deleted with your account.
- Scrambled entry count: kept, as described above.
- Scorecard copies and logs with Zapier and Google, and the mailing list: until you ask us to delete them or you unsubscribe.
Deleting your information
Delete my account in your Registry immediately erases your account and every record, photo, property, stand, map pin, food plot log, soil test, feeder, sit log and outlook history in it from our database, deletes properties you own for anyone you shared them with, and clears it from that device. Copies of past scorecards and submission logs kept with Zapier, Google and Mailchimp aren't removed by that button; email tools@whitetailrx.com from the address on your account and we'll delete those too and remove you from the mailing list. De-identified data already included in aggregated research can't be pulled back out.
Keeping it safe
Sign-in uses one-time codes, limited per email and per connection. We store only scrambled versions of codes and session keys, all traffic is encrypted, and property, stand and map locations and gate codes are encrypted in our database with a separate key. No system is perfectly secure, so keep your email account protected.
Children
WRX365 isn't meant for children under 13, and we don't knowingly collect their information.
Your choices and rights
You can see, correct, download (CSV) and delete your information in WRX365 at any time, and unsubscribe from Hunt Club emails. For anything else, email tools@whitetailrx.com.
Changes
If we change how we use your information in a material way, we'll update this statement and ask you to agree again.
